Minutes for Roudebush Woods HOA Board Meeting

- Call to Order

- Members present: Jeff Dornick, Ron Driesens,
Bob Hackenberg, Robin Fleming, David York, Donna Zenthoefer
- Minutes from last month were approved and are now online at
roudebushwoods.org.
- Preliminary Business
- Architectural Requests
There was a request for approval of a plastic shed in the
yard. The request was denied because the shed did not meet
architectural requirements that are in place. The shed must
have siding and roofing that matches the house.
- Old Business
- Playground Appearance
The vandalized playground sign is still in the process of
being replaced. Weeds are still a problem in the playground
- Entrance Landscaping
The plan for the island at the 191st St. entrance is to remove
the existing shrubbery because the trees are dead and the two
bushes are overgrown. Grasses and perennials will be planted
instead. Two of the trees have already been removed and the
third one will be taken out soon. The bushes will be removed
soon as well. Approval was given for the purchase of
replacement grasses and perennials. All the work on island
will be done by volunteers from the board of directors.
- Mowing
The mowing of the common areas seems be being done on schedule.
- Pond Contractor
The primrose in the middle pond had been sprayed and most of
the primrose has died off. It appears that some of it is
still alive and this was reported to the company contracted to
treat the ponds. It appears that primrose is now starting in
the pond behind Talisman Dr. This will be reported to the
company that treats it.
- Woods Deed
The transfer of the woods deed from Thompson to Roudebush
Woods has not yet been completed. The tract has been surveyed
but the surveyor failed to take into account the right-of-way
along 191st St. This will have to be surveyed again.
- Poison Ivy in the Woods
The poison ivy in the woods has been sprayed and the vines
have been cut down and removed. It appears that there are
some new shoots growing.
- Website Development
Cara Culp of the Noblesville Mayor's office periodically sends
bulletins to the webmaster. There was a discussion on what we
should do with these bulletins. The decision was to save the
bulletins away in a directory on the website and to have a web
page that give the links to the various bulletins. As new
bulletins come in, there will be an update notice on the home
page that the bullentin is available. These bulletins
typically contain useful information about the city that our
residents might be interested in reading.
- Sidewalk Damage at 191st St.
We are still trying to the streets department to repair
the damage that was done by one of the utility companies on
the sidwalk on 191st St. just west of the entrance. The city
has decided to repair it because they cannot find out which
utility company did the damage.
- Pool Contractor and Facility
The front peak of the pool building was damaged by the company
that delivers chemicals. That company asks that we contract
to have the damage repaired and to send them the bill. The
damage was done by the truck backing in too closely.
It was reported that on the previous weekend that the pool was
not being heated and that the water appeared dirty. It turns
out that the heater had been turned off for some reason.
David York turned it back on and it is now working. The
reason for the dirty pool was that the regular lifeguards who
normally clean the pool had left to go back to school and the
replacement guards had not been instructed to clean the pool.
DJ Pools was notified about this.
The pool appears to be losing water. We have been aware of
the problem because this condition has been in place for
several years. We were given a quote of $690 for four hours
of work to trace the problem. The board decided that that was
excessive and that we will continue to replenish the water as needed.
- Debit Card
The card now has $411. This money will be used to buy grasses
and perennials for the the island at the front entrance. The
board will approve replenishment of the card as needed.
- Yard Lights
There are some homes that do not have their yard lights
functioning. We have been recording this on a monthly
basis. Those homes that have had the lights out for more than
two months will be sent a letter.
- Budget and Finances
Pool expenses have not been billed yet for the current year by
DJ Pools. Once this comes in, we will pay our portion of the
expenses and send a bill to Roudebush Farms. Because of the
extra expense of purchasing the new heater, some money was
transferred from the reserve to the operating account.
There have been two bankrupcies and one forclosure in the
division. As a result, we have not received back dues from
these three houses. It will not be possible to recover the
dues from the bankrupcies but we will pursue the dues from
the foreclosure. The board voted to write off the losses.
- New Business
- Annual Meeting
The board decided to schedule the annual meeting from 7-9 pm
on Thursday, October 23. It will be held in Faith Community
Church.
There are currently six board positions. Three of
these positions are filled by members who have terms that will
not expire this year. The other three positions are filled by
appointed members. It was pointed out that we should have an
uneven number of board members so that the board president can
server as a tie breaker during voting. The board decided to
have five positions. This means that there will be an
election after the annual meeting for two positions. CASI
will send out self-nomination forms prior to the annual
meeting and these are to be turned in by the time of the
meeting. We would like to introduce candidates at the meeting.
