Roudebush Woods Board Meeting Minutes 24 April 2007 Location: Genealogy Room, Noblesville Public Library Meeting called to order at 6:12 PM, Adjourned at 8:20 PM Attendees: Rob Brown Steve Everman Bob Hackenberg Ray McGrayel Erick Prock Hank Thompson 1. Minutes from previous meeting were approved. 2. Financial Review No particular issues were raised. Hank Thompson announced that the county has decided that homeowners association will not be charged property taxes on common areas. We currently pay $7238 per year on our common areas. That expense will go away. 3. Old Business A. Property Line between Roudebush Woods and the Meadows The issue has been that residents of the Meadows have been using a firepit and picnic table on a common area that belongs to Roudebush Woods. This area is on the north side of the pond that stands between Talisman Drive and Golden Meadow Way. Hank Thompson has spoken with the homeowners who seem to be using that area and informed them that that area belongs to Roudebush Woods. They said that they have been maintaining the area for a while and use the firepit to burn fallen tree branches. Since the area is definitely cared for and since there has been no disturbances, the board has decided to let them to continue using the area providing that they understand that the area belongs to Roudebush Woods. Hank will write a letter to the affected houses in Meadows indicating that they may continue to use the area the way they are doing now but that they should be aware that it is our property. The board will approve Hank's letter by email prior to him sending it. B. Playground Mulch and Landscaping Timber AD Young was approached on submitting a bid on replacing three landscaping timbers and adding mulch in the playground area. AD came back with a bid of $1100. The board decided to ask AD to replace the timbeers and to purchase and deliver 22 yards of mulch. As a side note, the spring for the toy in the playground was received and replaced by Steve Everman. C. Information Packet The board discussed the proposed contents of an information packet that will be distributed to the residents. This will be printed and distrbuted by hand. This will not be a newsletter but will direct the residents to check the web page regularly for developments and a discussion of issues. 4. Committee Reports A. Architecture Committee A report was presented on actions taken on requests submitted by the the residents. B. Pool Committee Roudebush Farms has been reprsented by someone designated by Corby Thompson of Thompson Land Company, the developer of the Woods and the Farms. The costs of operating the swimming pools are being shared by the two developments. The reprsentative appointed by Thompson has left the company. Linda Hite, a resident of the Farms has volunteered to serve in that capacity and Corby Thompson has approved her acting in that role. Linda will work with Steve Everman in dealing with the day-to-day issues that come up. 5. New Business A. Political Signs The issue had been raised that the posting of political election signs were not permitted in the development along with "Proud Parent" and similar signs. Since the city regulations permitting political signs outranks the association by-laws, we have decided to take no action about the signs. B. Information Packet Rob Brown will draw up the final version of the information packet (previously discussed) and we will deliver it by hand. C. Pool Issues 1) Resurfacing the Pool We have received three bids for resurfacing the main pool and the kiddie pool. We decided to go with the lowest bid. It is from DJ Pools (the current contractor for maintaing our pool and lifeguard services). The bid is for $4910. 2) Screen Repair at the Pool Several screens have been split open due to the force of wind on wide openings that the screens cover. Steve Everman said that he would replace the screen material and use additional bracing to reduce the size of individual openings. The board approved the action with a cost not to exceed $250. 3) Umbrellas All of the original umbrellas at the pool need to be replaced. We need 10 of them and will look out for a sale where they cost $20 or less. 4) Shelves in the Guardroom The board approved the installation of shelves on one wall of the guardroom. These are to be used by the Woods and the Farms. 5) Pepsi Service Steve will contact the Pepsi service contractor to had the machine restocked in advance of the new pool season. D. Woods Cleanup Only AD Young and Steve Everman and their families showed up for the cleanup of the woods at the entrance to the development. This was supposed to be a volunteer effort. Because of all the work that AD and his family did in cleaning up the branches and hauling them away. Steve recommended that we offer AD a check for $300 in appreciation. The board approved.
