Roudebush Woods HOA Board Minutes for 22 May 2007

Call to order: 6:00 pm
Present: Rob Brown, Bob Hackenberg, Steve Everman, Hank Thompson
Approval of previous minutes: Had been approved via email, posted on website.
Financial review:Nothing seems out of order, spending is on track.
Old Business:
- Property Line between Roudebush Woods and the Meadows: letter
has been drafted and will be sent out this week.
- Playground equipment painting quotes:The question arose in
conversation with one bidder as to exactly what has to be repainted.
We decided that it was just the areas that had serious rust.
- Information packets for neighbors: Packets were distributed
on May 19.
- Deed for Woods update:Thompson is almost ready to transfer
the deed to Roudebush Woods.
Committee Reports:
- Architecture: No Report but summary of actions was
distributed.
- Landscape: No members
- Social: No members
- Pool:
- Pool will open Saturday, May 26 at 10:00
- Pool passes will be distributed between 10:00 and 11:00 on May 26
and also on the 1st and 3rd Saturdays of June between 10:00 and 11:00
- The work on the pool is progressing and the pool will be ready
in time. The surface has been cleaned and resurfaced. The pool is
now being filled. Steve has repaired all but one window in the
screened porch. He needs to purchase more material for the final
window. He suggests that we completely replace the screen door with
a new one. All but two of the umbrellas are usable for the time
being. Thompson has agreed to share in the cost of this refurbishing
work.
- Bob will learn how to manage the card reader. Ray has a
spreadsheet that correlates the lot number with the distributed
cards and he is to send the file to Bob.
- If any of the residents of either the Woods or the Farms notices
anything amiss with the pool, they should first contact DJ's by
telephone at 445-7317. They can subsequently contact the board at
board@roudebushwoods.org saying that they had done so, stating when
they called and what the problem was. This way, the board can check
that action was taken.
- DJ's (the pool contractor) has agreed to all the amendments that
we included with the contract.
- The pool heater should be able to raise the temperature by 10
degrees. We will attempt measure it once the pool is filled. The
procedure will be to measure the difference in input vs output
temperature.
New Business
- Appointment of Donna Zenthoefer to Board: Donna was
unanimously approved to be a board member. Rob will contact her and
provide here with information she needs.
- Ponds: The three ponds have been treated for algae. Hank
Thompson presented a quote on the purchase and installation of a
pond fountain for the pond near the pool. The initial cost would be
around $7000 to purchase the pump, run the electrical wiring, and
perform the installation. There would be annual cost of about $400
to maintain the fountain and remove it in the winter. Also, the
annual cost of electricy would be around $1000. After all that,
this would not cure the problem of algae growth because not enough
of the water would be recirculated. The decision was made to not
pursue this.
- Landscape improvements: A
discussion was held on what might be in terms of short term and long
term improvements for the pond areas and the woods so that they
might be more conducive to recreation and gatherings. Although
there have been presented a lot of good ideas of what might be done,
we decided to not do anything until a landscape committee could draw
up some plans and present some cost estimates. This makes the need
for rebuilding the landscape committee all the more urgent. There
is a missing tree on the north end of the playground. We decided to
simply plant grass in the area for the time being pending plans from
the landscape committee. Rob volunteered to plant grass and to
water it. He will be reimbursed for any expenses.
- Tax rebate As reported in the last minutes, Roudebush
Woods will no longer be assessed property taxes on the common
areas. Hank Thompson has learned that we may be able to recover the
taxes paid the last two years. We decided to hire a tax consultant
who is familiar with this process. They will be paid 50% of what is
recovered.
